How it works:

IMPLEMENTATION

During the onboarding process, a dedicated Client Implementation Manager will be your single point of contact. He or she will work with you and your staff to develop a customized implementation project plan, creating a seamless transition to our services.

INITIAL TAX RATE AUDIT

We begin with an in-depth tax audit in order to verify and correct (if necessary) tax rate calculations and overpayments against your account for the last 36 months by auditing tax rate notices and numbers (i.e. charges, quarterlies, and anything else to verify the rate). We also look for any missed voluntary payments. Once the analysis is complete, we apply for credits or corrections to your rate with the appropriate agencies.

INITIAL CLAIMS / PROTEST AUDIT

By auditing the last 12 months of UI claims and protests, we can ensure that there have been no missed opportunities for credits. Throughout this audit, we look for issues with policies and processes that have led to lost or missed protests and credits. We also create a game-plan going forward to create a more effective UI claims and protest management program.

CLAIMS ADMINISTRATION

We will become your representative of record with the various state UI agencies and will manage all aspects of your UI claims program (data entry, protests, benefit charge auditing, follow up, etc.). We will ensure that all correspondence with these agencies is timely and effective, resulting in the most favorable outcomes possible.

OVER PAYMENT AUDITS

The error rate on charges to your account is very significant in most state UI agencies (between 10 and 25 percent). With that in mind, we will audit all charges and credits to your account to catch such errors as:

  • Overcharges based on unreported earnings
  • Charges to the wrong employer
  • Missed credits from winning protests
  • Charges to your account when you have already been relieved of charges

TAX AUDITS

We will audit all tax rate notices for accuracy and file appeals for adjustment whenever necessary. We will also identify possible voluntary payments which may result in tax rate reductions – saving you money in UI taxes.

CLIENT EDUCATION

The “first line of defense” in controlling unemployment insurance costs is having effective personnel policies, procedures, and practices in place. We conduct on-site or web seminars and workshops to educate your staff on how their action (or inactions) can affect your unemployment tax or reimbursement rates, and what they can do to lower them. (Policies and processes, documentation, basic UI knowledge, discipline and development just to name a few areas of focus.)

ADDITIONALLY, EACH UI STEWARD PROGRAM INCLUDES THE FOLLOWING:

  • Real-time claims viewing (follow a claim from start to finish) and account activity reports
  • Protests and appeals of improper claims decisions
  • Hearings preparation (representation is available as well)

FEES

Clients can choose to set up a monthly payment per employee and pay nothing for claims or pay per claim regardless of employee count. UI Steward will provide a custom estimate based on your individual needs.
